What the tracker actually is

One web page, on its own link, showing your travellers and their trips. No app to install, no licence per seat, no login for your team to forget.

Most companies track travel across a booking inbox, a shared calendar, a spreadsheet somebody updates when they remember, and a group chat. Each holds part of the answer and none holds all of it. When something goes wrong — a cancelled sector, a closed border, a family emergency at 2am — the first ten minutes go on working out where people are, rather than doing something about it.

The tracker takes the itineraries we already hold for you and turns them into a view anyone can read in seconds. It is deliberately plain: no dashboards to configure, no charts to interpret, just the facts of who is where, laid out the way an operations coordinator would want them.

What each view is for

Each sheet exists to answer one recurring question quickly, with no filtering or interpretation required.

Locations & time zones

Groups every traveller under the city they are in right now, with a running local clock and GMT offset. Home-based people sit under their home city; anyone travelling moves to the city they are actually in. A separate card holds anyone currently in the air, with their flight number, route and landing time in destination local time. Filter to one person, a handful of people, or only those away from home.

Travel in progress

Every trip underway, ordered by who returns soonest, so the top of the list is always the next person walking back through the door. Multi-city trips show every destination on one row. Finished trips leave the list on their own.

Upcoming travel

Confirmed trips that have not started, soonest first, with tags separating firm bookings from quotes still awaiting approval and from travel taken as annual leave. Where several travellers are heading to the same city at the same time, a note at the top of the sheet spells it out.

Tickets in credit

Tickets paid for but not flown, with the turnaround they were issued against, the ticket number and the expiry date. This is usually the sheet that pays for itself: finding five unused tickets before expiry typically covers a year of tracker maintenance.

Set up and access

Data

We hold the itineraries we already have for you in our booking tool. The tracker reads those, and nothing else — no new data feeds to wire up, no manual data entry.

Branding

Your logo lives in the tracker header. The colour of the accent bar is yours to choose. The URL is yours — trackers sit at whatever path you prefer.

Access

Link the tracker from your intranet, your travel management portal, or wherever your team looks for travel intel. Share the link — no login, no licence seats, no "remember your password" friction.

Accuracy

As your team books or changes trips in our tool, the tracker updates automatically. You don't refresh it manually. Cancellations, rebookings, and new trips all flow through within seconds.

Questions

How often does the tracker update?
Every time a booking is made, changed, or cancelled in our system. For a team of ten active travellers, that's usually several times a day. The updates are live — no scheduled refreshes, no manual syncs.
Can I filter and sort the tracker?
The Locations sheet has a working filter — search by name, select one or more people, or toggle "away from home" to show only those currently travelling. The other sheets are sorted by the logic that matters to that question: Travel in progress sorts by return date, Upcoming sorts by departure date.
What if someone is on annual leave or doesn't have travel plans?
They still show up, but with a note flagging that they have no travel on file. If they're marked as away in the system (annual leave, sabbatical, etc.), the tracker shows that status. When they return or book a trip, the status updates automatically.
Can I export data from the tracker?
The tracker is designed for live reading, not for reporting exports. If you need data outside the tracker for analysis, compliance, or other purposes, we can pull custom reports from your full booking data.
How does daylight saving work?
The tracker knows which cities observe daylight saving and when. As the clocks change, so do the offsets and the time stamps on every trip in that city. No manual updates needed.
What if a traveller is on a long multi-city trip?
Each sector shows separately, with its own dates, times, and terminals. The Travel in progress sheet shows every destination on one row so you can see the whole trip at once. The per-traveller page breaks it down by sector.
Can I share the tracker outside our team?
Yes, if it makes sense for your use case — for instance, sharing it with a trusted partner, a client, or an embedded team. We can set access permissions and can revoke them any time. It's your link and your data.
Who maintains the tracker?
We do. The tracker is part of your travel management service. As you add and change bookings, we keep it updated, keep it running, and handle any platform changes or upgrades.
